What white paper writing covers here.

White paper writing is the research and drafting of a long-form document that makes one argument for a technical or business audience and backs it with evidence. Whether you spell it whitepaper or white paper, the deliverable is the same: a cited argument your buyers can take to their own team.

Clients include Vodafone, Capgemini, Diageo, Sanofi, Shopware, Hailo and Fiverr.

Why the white paper never gets written in-house.

  • Our experts know this cold. They just never have time to write it down.

A 45-minute call is enough. I record the call, transcribe it and turn the transcript into the argument. Your expert then reviews their own section, which takes about twenty minutes.

  • The last white paper was a product brochure with a bibliography.

A white paper argues a position the reader can hold without buying anything. The product appears in the last quarter, as one way to act on the argument. Before drafting, I read the papers your competitors publish and look for the position still open to you.

  • We need to be in the conversation before the RFP is written.

That is the job of a white paper: to shape how the buyer defines the problem, months before they define the requirements. The paper is written for the person who will write the RFP, in the vocabulary they will use in it.

Six steps from angle to manuscript.

Three of them need your team: approving the outline, the interviews and the expert review.

  1. Angle and outline

    Your approval

From search data and the competitor papers, we agree on the one argument the paper makes and the reader it is for. You approve a one-page outline before any interview is booked.

  2. Expert interviews

    Your experts

I run three or four recorded calls of 45 to 60 minutes and send the questions in advance. I talk to the person who owns the argument, one or two practitioners with examples, and where possible a customer or partner.

An interview excerpt, and what became of it
  3. Research and evidence

    Sources

I gather public data, analyst reports and your own numbers. Every figure is checked against its source before it goes into the draft.

  4. Draft

    Manuscript

I write the manuscript from the outline, the transcripts and the sources. A reader who only reads the summary and the subheads still gets the argument.

  5. Expert review and edit

    Review

Each interviewee checks the section built from their interview. Then I edit the full paper for consistency and tone.

  6. Handoff, with the pieces that promote it

    Delivery

The manuscript goes to your designer, and the promotion pieces go to your marketing and sales teams.

Chapter 2Example, details changed
Why “single source of truth” projects stall in month four

Every integration project starts with the same slide: one database, one dashboard, one version of every number. Four months in, the finance team is still exporting to a spreadsheet, and the sales team has stopped opening the dashboard. The project stalls because “truth” was defined by the people who built the system. The people who have to act on it were never asked.

Three teams reading one dashboard three ways still argue about the numbers.

In interviews with eleven operations leaders for this paper, the pattern was consistent. The teams that kept using the system after month four had put two answers in writing before implementation. Who owns each number? What happens when two sources disagree? The technology decision came second. The sections that follow describe that agreement, how to reach it in two workshops, and what it changes about vendor selection.

When a white paper is the right piece, and when it is not.

White papers are one of four B2B copywriting services here, next to website copy, case studies and SEO articles.

A good fit

  • You sell software, IT services or consulting with a sales cycle measured in months, and buyers research before they talk to you.
  • You have a position on your market that your competitors do not share, and people inside who can argue it.
  • Your sales team has asked for something substantial to send to prospects, or your marketing team needs a piece worth an email address.
  • You run an agency and a client needs a white paper. I interview the client's experts and can deliver under your agency's name.

Probably not

  • You need it next week. The interviews and the expert review take longer than that.
  • You want a rewrite of a vendor's or analyst's paper with your logo on it.
  • Your experts cannot make time for an interview. Without them, the paper would have no original argument.
  • You need an academic or scientific paper. That is a different discipline with different rules.

Before you send an outline.

What is the difference between a white paper and an ebook?

A white paper makes one argument and backs it with evidence, for a reader who is evaluating a decision. An ebook collects advice on a topic for a reader who is learning. White papers are shorter, denser and cited. If your sales team needs something to send after a first call, it is usually a white paper.

How long should a B2B white paper be?

Most land between 2,500 and 5,000 words. I write as much as the argument needs to prove the point, with no filler to reach a page count.

How long does a white paper take?

Projects start at two weeks from the approved outline to the manuscript. Longer papers with more interviews take longer, and the schedule is agreed up front. Booking the interviews depends on your experts' calendars.

Do you use AI?

Yes. The work is AI-powered, which is a big part of why white paper timelines here are short. AI handles the heavy lifting on keyword data, competitor pages, interview transcripts and first structures, so more of the time goes into the calls with your team and the argument. Prefer copy written without AI tools? That is available too. It simply takes longer. How AI fits the method
